A complaint about the Sound Systems 2011
How are you? I've just got a complaint from Mr Leung on 10 March about the exhibition Sound Systems 2011 at the Fortune Hotel.
There are three problems mentioned by him.
He complained that the on-line registration facility was unworkable and he could only registered it through fax. The second problem was the overcrowding of venue. He also mentioned that there was not enough leaflets in the exhibition.
Please give me some advice to handle his complaints.

Dear Ms Kong,
The problems and the possible solutions of the Sound Systems 2011
I have received a complaint from Mr Leung about the exhibition Sound Systems 2011 at the Fortune Hotel. The problems mentioned by him are as follows.

1. On-line registration
The on-line registration facility was unworkable and he only could registered it through fax. As there were so many people register at the same time, the capacity of the server could not support the high traffic.In order to solve this problem, we could upgrade the server to enhance its capacity.

2. Overcrowded venue
The venue was too crowded since there was too many people at the exhibition. We booked the venue too late so that we could not choose a larger places to accommodate so many people.I suggest we could book the venue earlier next time.

3. Lack of leaflets
He mentioned that there were not enough leaflets at the exhibition. as the event was more popular than expected, we underestimated the number of participants . Another reason concerns the environmental issue. The possible solution could be adopting the electronic version and do the estimation more accurately.

In order to show our goodwill, I suggest that we could send him a hard copy of leaflet. We can also give him a free ticket of the upcoming event.

Thank you for sending us the letter about the exhibition Sound Systems 2011 at the Fortune Hotel. We apologize for the inconvenience caused to you. According to the issues you mentioned, we have made some investigation.

Regarding the performance on-line registration facility, this was because there were so many people register at the same time. The capacity of the server could not support the high traffic.In order to solve this problem, we will upgrade the server to enhance its capacity.

Secondly, since we booked the venue too late so that we could not choose a larger places to accommodate so many people. This exhibition was more popular than expected so it leads to the overcrowding problem. We decide to book the venue earlier next time.

Thirdly, as the event was more popular than expected, we underestimated the number of participants . Another reason concerns the environmental issue. In the future, we will adopt the electronic version and do the estimation more accurately.

To show our goodwill, we would send you the hard copy of the leaflet and also the free tickets of the upcoming event. I hope you can support our coming events in the future.
